A$490K+
Invoiced revenue tracked
In short
Arcetis built a custom CRM and booking system for an Australian service business, replacing a scatter of disconnected tools with one live operational dashboard. It unifies bookings and scheduling, customers, invoicing and revenue, and lead and follow-up management — and now tracks more than 2,250 bookings, over 2,200 customers, and A$490K+ in invoiced revenue, with new leads and overdue follow-ups surfaced in real time.
A service business that takes bookings, invoices customers, and chases leads has the same core problem a hospital or a sales team does: the information that runs the business ends up spread across a calendar, a spreadsheet, an invoicing tool, and a phone, with no single place that answers 'how are we actually doing, right now.' This Australian client had grown to real volume — thousands of bookings and customers and hundreds of thousands of dollars in invoiced revenue — on exactly that kind of patchwork. Arcetis was engaged to replace it with a purpose-built CRM: one system that captures a booking, tracks the customer, raises and reconciles the invoice, and keeps leads and follow-ups from being forgotten, all reporting into a dashboard the owner can read at a glance.
For a high-volume service business, the cost of a disconnected toolset is not just inconvenience — it is money left on the table and trust quietly eroded. A booking that isn't linked to a customer record becomes a follow-up nobody owns. An invoice raised in one tool and tracked in another makes 'how much have we actually been paid this month' a manual reconciliation rather than a number on a screen. A lead that arrives while everyone is busy gets a reply two days later, or never. None of these are dramatic failures; they are small leaks that scale with the business, and they are invisible precisely because no single system is watching all of them at once. The build therefore had to do two things at the same time. It had to be an accurate operational system of record — every booking, customer, and invoice captured once and kept consistent — and it had to surface the few numbers that actually tell the owner how the business is doing: total and monthly revenue, the booking pipeline, new leads, and, critically, overdue follow-ups and what is due today. The reporting could not be an afterthought bolted onto data entry; it had to be the reason the system existed, so that the act of running day-to-day operations produced a live, trustworthy dashboard as a by-product rather than a monthly spreadsheet exercise.
Arcetis designed and built the custom CRM end to end, around how the business actually operates rather than a generic template. Arcetis built the booking and scheduling core, the customer records that every booking and invoice links back to, and the invoicing and revenue tracking that turns paid invoices into live total-revenue and monthly-revenue figures. Arcetis built the lead and follow-up layer — capturing new leads, flagging what is overdue and what is due today — so that nothing waits on someone remembering it. And Arcetis built the operational dashboard that sits on top of all of it: revenue over the last six months, bookings over time, a monthly earnings breakdown, and the live counters for bookings, customers, leads and follow-ups that let the owner read the state of the business in seconds.
A booking core that captures every job once and links it to the right customer record, so the schedule and the customer history stay consistent and the pipeline of pending and upcoming bookings is always visible.
Invoicing tied to customers and bookings, with paid invoices rolling up into live total-revenue, monthly-revenue and earnings-breakdown figures — so 'how much have we been paid' is a number on a dashboard, not a manual reconciliation.
Lead capture with follow-up tracking that surfaces new leads, overdue follow-ups and what is due today, so enquiries get answered and follow-ups happen before they lapse.
A single live dashboard — revenue and bookings trends, monthly earnings breakdown, and real-time counters for bookings, customers, leads and follow-ups — that lets the owner read the true state of the business at a glance.
